Disclosure up front: I co-founded SpaceBrain and lead its engineering. This is the story of why it exists, written by someone with an obvious interest in it. The prices and plan limits below come from the live pricing page as of 30 October 2026.
The problem: the customer falls through the gaps
Watch how a typical service business in the US or Canada handles a new customer: a dental studio, a roofing company, a marketing agency, a gym.
A lead fills in a form on the website at 9 p.m. The form tool emails someone. Someone copies the details into the CRM the next morning, if they remember. The calendar app sends a booking link. A proposal goes out from an e-signature tool. The deposit is collected through a payment link. The follow-up sequence lives in the email platform, the social posts in a scheduler, and a Zapier account holds it all together until one connection quietly breaks.
Every one of those tools is good at its job. The trouble is in the handoffs between them:
- Speed. The lead who asked at 9 p.m. hears back at 10 a.m. By then they have often booked with whoever answered first.
- Context. The person picking up the phone can't see the form answers, the last email or the unsigned agreement, because each one lives in a different app.
- Cost. Each tool bills separately, usually per seat. Our own side-by-side comparison puts 18 separate paid plans covering CRM, funnels, forms, scheduling, email, automation, e-signatures, reputation, SEO, memberships and more at about $2,154 a month, before usage. Features overlap and aren't identical, but the order of magnitude is the point.
- Admin time. Somebody spends hours each month exporting, re-importing, fixing broken automations and stitching reports together.
Brett Ferguson and I kept seeing the same thing with the businesses we worked with. They didn't need another tool. They needed the tools they already paid for to share one customer record.
The solution: one customer record, everything attached to it
SpaceBrain puts 50+ business tools in one subscription, built around a single shared record for each customer. Here's what that same 9 p.m. lead looks like inside it:
- The form is submitted. The person and their company are created in the CRM automatically, with the form answers attached.
- An automation texts them back immediately, then waits up to a day for a reply.
- If they reply with interest, AI asks the qualifying questions (needs, budget, timing). If they decline or opt out, the automation stops.
- Qualified leads get available times from the calendar and book themselves in.
- Before the call, the AI copilot (Orbit AI) prepares a brief from the form, the conversation and the deal.
- The agreement is sent and signed, and the deposit is paid, and both land on the same customer record.
No copying between apps, and no Zapier step to break. Whoever picks up the next task sees everything that happened before it.
What's in the box
- AI & conversations: an AI receptionist and voice agents that answer your business line around the clock, missed-call text back, an AI appointment setter, a universal inbox, an AI meeting notetaker, and a knowledge hub the AI answers from.
- Marketing & capture: forms, landing pages, funnels, quizzes, email marketing with verification, social media scheduling, an SEO suite and webinars.
- Customers & work: AI CRM with deal intelligence, calendar, tasks, payments, agreements and e-signatures, memberships, courses, communities, reputation management and reports.
- For agencies: white-label delivery, SaaS Mode, client rebilling, custom domains and guided Meta and Google Ads access requests for clients.
There are add-ons for specific industries (gym management and short-term-rental hospitality), and the product works in English, Spanish, Thai and more.
What it costs
All prices are in USD, billed monthly. Annual billing gives you two months free.
| Plan | Price | Who it's for | Highlights |
|---|---|---|---|
| Free | $0 forever, no credit card | Launching your first lead flow | Unlimited forms and automations, CRM with 2,000 records, calendar, tasks, SEO tools, 2 seats |
| Starter | $99 / month | Most small businesses | Unlimited seats and CRM records, email and inbox, agreements, payments, courses, 1,000 AI credits a month |
| Pro | $299 / month | Growing teams | 10 workspaces, 3,000 AI credits a month, webinars |
| Agency | $599 / month | Agencies serving clients | Unlimited workspaces, white label, SaaS Mode, rebilling, 6,000 AI credits a month |
Starter and Pro come with a 14-day free trial, and you can cancel any time. Usage such as voice minutes, messaging and enrichment draws from the monthly AI credits, and you can top up. Phone numbers and payment processing fees are billed separately.
The detail I care most about for small teams is that paid plans include unlimited team seats. Adding your front desk, your sales rep and your contractor doesn't add three more per-seat bills.
Who it's for, and who it isn't for
SpaceBrain fits best for:
- Service businesses: home services, clinics, med spas, dental, legal, real estate, fitness, coaches.
- Small sales and marketing teams that want leads, follow-up and booking in one place.
- Agencies that deliver marketing and AI receptionists to clients under their own brand.
It's probably not the right first move if your company runs on a heavily customised enterprise CRM with years of integrations behind it. Even then, the honest advice (and what our own stack audit tool recommends) is to move one workflow first, run it in parallel, and retire a tool only after it passes a real test.
What building it taught me
My side of the company is the engineering. SpaceBrain's backend is Python (FastAPI, PostgreSQL, Celery and Redis) with a separate Next.js frontend. It has grown to nearly a hundred domain modules and more than 3,000 API endpoints, covered by over 27,000 automated tests that run before anything ships. The voice agents answer real phone calls for businesses in Canada, the US and Thailand.
Putting 50 tools into one product only works if the shared customer record is solid. Every module (forms, calls, agreements, payments) has to write to the same record in the same way, with consistent permissions, billing and audit trails. That's what separates one platform from 50 apps sharing a login, and it's where most of the engineering effort goes.
Try it
If your customers are slipping through the gaps between your tools, start with the workflow that hurts most, usually new lead → instant reply → booked call:
- Start free: the Free plan needs no credit card. Pick Starter or Pro when you sign up to get the 14-day trial.
- Compare plans in full.
- Or try the AI chat in the corner of this page: it runs on SpaceBrain and answers questions about my work from a knowledge base.
If you're a business in the US or Canada and want help setting up that first workflow, get in touch. I'm happy to look at your current stack with you.
